A. Grant Reporting: The federal or state government or the private agency determines the scope of and initiates the reporting process. Forms and due dates are transmitted to the Managerial Accounting Section, Reporting and Forecasting Unit of the Department of Human Services (DHS), Administrative Services (AS). Instructions and guidelines for the reporting process are to accompany the forms.

B. Grant Report Preparation: AS, Managerial Accounting Section, Reporting and Forecasting Unit staff prepare federal or state government or private agency mandated grant reports within the specified time, on the required forms, in compliance with agency guidelines and regulations. The reports are prepared utilizing data from the Department of Finance and Administration, Division of Computer Services, Accounting/Federal Grants Management (AFGM) System Report Number 1456, Expenditures for Program Code, the Cost Allocation Report prepared by AS, Managerial Accounting Section, Cost Allocation Unit, and when necessary, data gathered from other sources required for compilation.

C. Submission of Grant Reports: Reporting and Forecasting Unit staff submit grant reports to the appropriate state or private agency and to the DHS divisional program manager or designee.

D. Submission of Federal Status Reports: Reporting and Forecasting Unit staff submit grant expenditure reports to the appropriate federal agency and the divisional program manager or designee.
